You will be notified at the time of booking of the price of your holiday. You will be required at the time of booking to pay us a non-refundable deposit, typically 20% of the quoted holiday price, and the full holiday price of a booking should be made at 90 days prior to departure. In certain circumstances (depending on the nature of the booking) we will require a non-refundable deposit in excess of the usual 20%. (for the Tours in Africa) On these occasions we will require additional payment in advance.
Your booking is not confirmed, and payment is not deemed made until the deposit is received by Le Calabash and you receive a confirmation invoice.
Your reservation will be automatically cancelled if deposit is not received by Le Calabash by the deposit due date. On certain departures, deposits may be required at time of booking to hold or to confirm space for you. Payment of the deposit indicates you have read and accepted these Terms and Conditions.
We accept cheques, bank transfers and MasterCard or Visa. However, due to the fee levied on us by the card companies, a charge will be made on credit card payments.
All payments, deposits and transfers paid through PayPal will incur a charge of 4.5% which is payable on arrival prior to your program commencing.
The prices quoted in our brochures, on our website or in our publicity and promotions from time to time are correct at the time of publication. In the event of any change in our prices to those stated we will notify you prior to accepting your booking. All our prices are quoted in EUR €.
If a booking cancellation is received by Le Calabash prior to the final payment date of your vacation, your deposit is non-refundable.
Le Calabash cannot assume responsibility for any additional costs or any fees relating to the issuance and/or cancellation of air tickets or other travel arrangements not made through Le Calabash.
This is our general refund policy. Please read it completely. No reservation will be accepted without your acknowledgement and agreement to these terms.
All notifications of cancellation must be received in writing. On the date your cancellation is received, the following penalties will apply:
All Tours your 20% deposit is non-refundable. Final payment is normally due 90 days prior to departure. The final payment deadline is specified in the “Reservations” section of each detailed itinerary and can also be found at the bottom of the invoice you will receive after booking a tour. If you cancel after the final payment deadline, the following schedule applies:
You must be fully insured for your holiday and must make sure that all the activities which you will be carrying out are covered by such insurance. This insurance must include adequate cancellation insurance to the value of your holiday, emergency evacuation and repatriation costs in respect of all your activities.
Please note that the travel insurance provided by some credit card providers often only offers the minimum coverage and, whoever your insurer, you should always check for any exclusion of activities that you might be undertaking. In response to public concern, some insurers now offer specific insurance against cancellation, delay, and abandonment due to volcanic ash disruption. This can be taken out as an add-on to some travel insurance policies or as stand-alone cover.
For the benefit of everyone on your vacation, Le Calabash reserves the right to accept or reject any vacation participant and to remove any participant if you or any member of your party is drunk or under the influence of drink or drugs; if you are or we reasonably believe that you are in unlawful possession of drugs; or are behaving violently, disruptively, dangerously or irresponsibly or in any manner whatsoever which presents a risk to others or is causing a nuisance or annoyance to others. Le Calabash will not refund or cover any cost or expenses incurred for termination of vacation arrangements due to unacceptable behaviour. All vacation commentary is conducted in English only. For maximum enjoyment and understanding, you should be able to read and speak English.
Making a reservation with a deposit shall be deemed to be consent to these conditions: Le Calabash does not accept responsibility in whole or in part for any delay, loss, accidents, personal injury, sickness, medical expenses, or property damage occasioned by fault of any person from whatever cause. All tour participants are required to sign a standard liability form.
It is your responsibility to ensure that you and everyone travelling with you have valid passports, appropriate visas, and vaccinations. Some countries (particularly in Southern Africa) require your passport to have two blank pages for a visa stamp. As a result, if you are travelling in more than one country that requires this you will need to have more blank pages – for example, if you visit South Africa and Namibia, both of which require two free pages, and re-enter South Africa to fly home, you will need six blank pages. If you have any doubts about the number of pages required, we advise erring on the side of caution, even if this means applying for a new passport. Please ask us for clarification. Women 28 weeks or more into pregnancy at the time of return travel must have a doctor’s certificate confirming that they are fit to travel (note airlines normally require certification at 32 weeks).
You are responsible for ensuring that any existing medical conditions or disabilities which may require assistance are declared to us before you book your holiday or, if newly diagnosed, before your due date of departure. We are not in any circumstances liable if any carrier refuses you or any member of your party as a passenger as a result of any medical condition or disability.
A 25% cancellation fee or a 25% non-refundable deposit is applicable for all programs booked for group, designer and bespoke bookings requested and planned for by clients.
